Using AI to convert Visio flowcharts into excel
If you work with Visio process flows, you probably know this pain.
Editing directly in Visio is… painful.
Move one box, and suddenly connectors break. Add one decision step, and half the flow shifts. Even small changes take time.
I was working on Oracle process flows and had the same problem.
I needed to make multiple step updates, rename activities, adjust decision paths, and clean up flow logic. Doing all that directly in Visio felt messy.
Then I thought… why not convert the entire flow into Excel first?
In Excel, editing is much easier.
You can quickly update step names, reorder flows, change decision branches, add notes, and validate everything in table format. Once done, the Excel can be imported back into Visio using Data Visualizer.
Sounds simple.
Problem was – converting Visio into Excel manually is also painful.
Every shape had to be read manually:
- Process boxes
- Decision diamonds
- Connectors
- Swimlanes
- Loopbacks
Too much repetitive work.
That’s where AI helped.
I created a prompt that tells AI exactly how to read a Visio diagram and convert it into an Excel-ready table.
Scroll down for complete PROMPT. This prompt is created after multiple trial and errors.
Not just “read this diagram.”
I gave clear rules:
- Copy step names exactly
- Identify shape type
- Capture next step IDs
- Split Yes / No decision paths into separate rows
- Detect loops
- Preserve flow sequence
Basically, I taught AI how to think like a process analyst.
That changed everything.
Instead of manually rebuilding the flow in Excel, AI gave me a structured table in minutes.
After editing the process steps in Excel, I used Microsoft Visio’s Data Visualizer feature to import the table back into a flowchart. Pretty useful if you work with process maps often.
Simple use case. But very useful.
This is what I like about AI.
Sometimes it’s not about building fancy agents or big automation.
Sometimes AI is most useful when it removes small annoying manual work we deal with every day.
Here’s the complete PROMPT:
Prompt: Create Excel Table from Oracle Process Flow Diagram Objective: Transform Oracle process flow diagrams (images, slides, etc.) into a structured Excel-style table. Excel Column Structure: Step ID Process Step Description Shape Type Next Step ID Connector Label Function Phase Notes Connector Label & Looping Rules: - Decisions must have separate rows for each path - Connector labels must reflect actual diagram text - Looping flows must be identified - Add notes such as "Loop back to Step X" Standard Visio Shape Mapping: Start/End = Oval Process = Rectangle Predefined Process = Double-struck Rectangle Decision = Diamond Document = Wavy Bottom Data = Parallelogram Manual Input = Trapezoid Preparation = Hexagon Merge = Inverted Triangle Delay = Pill Shape Stored Data = Cylinder Loop Limit = Rectangle with Notch Process Flow Extraction Rules: - Never change step names - Copy exactly from diagram - Use separate rows for decision paths - Assign unique Step IDs - Maintain process sequence - Loops must be noted in the Notes column (e.g., "Loop back to S1"). - Do not merge, skip, or reorder steps -Connector labels must be copied exactly from the diagram Additional Guidelines: - Use swimlane name as Function - Use diagram title as Phase - Maintain left-to-right / top-to-bottom order Output: Excel (.xlsx) or Markdown table using the exact column structure.
