How often you use these in Corporate Emails – Building a “Toolkit of Phrases”

Often, Email communication if not phrased properly, it will lead to misunderstanding along with increase in email exchanges. Sometimes, you go out of words,  use wrong tone which will eventually end up things complex. 

Though there are multiple leads of sites in open source which gives you enormous phrases, I have hand-picked the ones which I find it worthful which I use in daily email conversations.

Trust me, if you often start using phrases again and again, you don’t need any reference at some point of time. Don’t forget to refer Corporate Idioms Post.

I keep updating this post whenever I come across effective phrases during my experience and various online sources.

To begin with

  • I am writing to you in connection with/ with regards to/ regarding/ concerning
  • Let’s touch base on “
  • I’m writing to remind you about…
  • I am writing to you about our last meeting/your presentation yesterday/our next event.
  • I am writing to you with regards to/regarding/concerning/in connection with…
  • I am writing to ask/enquire/let you know/confirm/check/invite you to/to update you on/ask for a favor…

Apologies

  • Sorry it took me so long to get back to you
  • Sorry not to reply sooner
  • Sorry to write out of the blue, but…
  • Sorry to write again so quickly, but
  • Sorry to bother again so soon, but…
  • Sorry, in my last email I forgot to…

Office Situations

  • Delegate work – That’s not my area of expertise. I would be happy to connect you with someone who could best help you solve this problem.
  • Setting Priorities – I’d love to help! As you know, my current priorities are X and Y. We’d need to deprioritize one of those to open up time for this project—which would you feel most comfortable with?
  • When you gonna miss corporate fun event – I’m so sad I’m going to miss this, but it’s “site your personal reasons/ Occasion”, too, and I’ll be blacklisted from the family if I don’t show up.
  • Setting Expectations – Thanks so much for getting in touch. I just wanted to let you know that I’m looking into it and will get back to you before [end of day/end of the week] with an answer. If this is urgent, let me know and I’ll try to get back to you sooner.
  • Getting rid of low priority work – Thanks for thinking of me for this project. Unfortunately, my schedule is completely full for the next few weeks. However, I have a (mention the person name) who has helped me with this sort of work in the past. I’d be happy to reach out to them and see if they have time. How does this sound?
  • Flexible Hours – I support flexible working hours and I’m sending this message now because it suits my work hours. Please do not feel obliged to reply immediately as I understand you will respond during the hours that you work.
  • Change expectations about an internal request for information – Check out this [Provide sources of information…. It’s pretty extensive and should be able to answer most of your questions about your problem.
  • Saying No – I don’t have the bandwidth to do a good job on this right now and give you the help/attention this deserves.”

Rendering Support

  • You’re right. Let me get this fixed.

Miscellaneous

  • Calling for Meeting – I know you’ve got a lot going on, and I don’t want to add anything more to your plate, but there’s something I’d like to discuss. I’m hoping it won’t take more than a few minutes.
  • Saying No – I’d love to help on this report , but I can’t make time to complete this without overloading my To-Do List. Can you reach out to someone in the team who can help you with this immediately?
  • Out of Office Notice – I’m on vacation now until [finish date]. I will read and answer all emails as soon as I get back. If this is urgent, please contact [Name] at [email address]. 
  • If mail misunderstood – It seemed like my comment earlier didn’t land well. Could you mind putting some time in our calendar to get this sorted.
  • Sharing Content – If you know anybody else who’ll find this useful, please forward the email to them.

Saying No politely

  • Sounds tempting, but I’ll have to pass
  • I’d like to, but I know, I’ll regret it.
  • I’m honored you asked me, but I doubt if I can do it.
  • I’d love to , but now I don’t have the bandwidth.
  • I’m not sure if this worked for me. Can you send in this format.
  • I wish I could make it work. Can you lend a helping hand here.
  • Thanks for thinking about me…but I doubt I can do it.
  • Unfortunately, I’m completely swamped.

Presentation Review:

  • Am I on the right track?
  • What would you add?
  • Do you see any blind spots?
